Essential Elements of a Valid VAT Invoice

According to the VAT Act, a tax invoice must contain the following information to be considered valid:

1. Supplier Information

  • Full name and address of the supplier
  • VAT registration number (must start with "4" and contain 10 digits)
  • Contact details (phone or email)

2. Invoice Details

  • Unique invoice number (sequential)
  • Date of issue
  • The words "Tax Invoice", "VAT Invoice" or "Invoice"

3. Customer Information

  • Name and address of the recipient
  • Customer's VAT registration number (if applicable)

4. Transaction Details

  • Description of goods or services supplied
  • Quantity and unit price
  • Total amount excluding VAT
  • VAT amount at 15% (clearly separated)
  • Total amount including VAT

Common Mistakes to Avoid

Business owners often make these errors that can lead to SARS rejecting input tax claims:

  • Missing VAT registration number: One of the most common errors
  • Incorrect VAT calculation: Must be exactly 15% of the taxable amount
  • Unclear VAT breakdown: VAT must be shown separately from the total
  • Missing supplier address: Physical address is mandatory
  • Handwritten invoices without proper details: While allowed, must contain all required information

Simplified VAT Invoices

For transactions under R5,000 (including VAT), suppliers can issue simplified tax invoices. These require less information but must still include:

  • Supplier's name, address, and VAT number
  • Invoice number and date
  • Description of goods or services
  • Total amount including VAT and the VAT rate

Consequences of Non-Compliance

If SARS determines that an invoice is not valid:

  • Input tax cannot be claimed on that purchase
  • The business loses the VAT refund for that transaction
  • Repeated non-compliance may trigger a SARS audit
